Commerce operations

Behind every order is a working process.

Online retailers need consistent records across the store, warehouse and customer support desk.

An order confirmation is only the beginning of a retail operation. Stock must be available, payment and fulfilment states must be understood, and the customer needs an accurate account of what happens next. Commerce Operations Dispatch follows the order through these transitions. It concentrates on the records and handovers behind the shopfront, particularly the awkward cases that are easy to overlook when a process is described only as a successful purchase followed by delivery.

Distinguish the states that drive the work

An order being received, accepted, paid, packed and dispatched describes several different events. Decide which state permits the next action and which system is responsible for it. A payment delay should not be confused with a warehouse delay. Keep order identifiers consistent across the tools used by customer service and fulfilment so a colleague can investigate without guessing. Where an order is changed or cancelled, identify the point at which packing can still be stopped and the person responsible for resolving an uncertain state.

Reconcile the stock promise with the stock record

A quantity shown in a catalogue may not explain reservations, damaged items or stock awaiting receipt. Review how the business defines available inventory and when that number changes. Follow one adjustment through the connected records before relying on a summary report. For a disputed shortage, retain the sequence of relevant events rather than overwriting it with a new total that has no explanation. Staff need a clear route for resolving the difference between a physical count and the quantity another system expects.

Send updates that reflect the actual position

A customer message should distinguish an estimate from a confirmed dispatch and explain what to do when an order needs attention. Check the timing of automated messages against the operational event that triggers them. A reassuring email can create another support enquiry if it describes progress the warehouse has not made. The dispatch examines order flow, inventory and customer communication as connected responsibilities. Its articles focus on making the status of a particular order understandable to both the people fulfilling it and the person waiting for it.
